Workflow Management - A user interface that allows you to build your workflow as if you were going through it.

The process builder within SymVolli is used to implement your processes that will help you align your sales cycle to the customer’s buying cycle. Each process is a series of steps where not only key questions are asked to establish where each of the opportunities is within the process, but also to collect data to substantiate the answers that are given by the user, e.g. Contact with all the Decision Makers has been established is substantiated by the name of the decision makers, their roles, their needs, etc.

It is possible to set up simple rules to deal with the monitoring of critical deadlines that are set in SymVolli. Each sales person can receive notice that an order date is fast approaching so that they can follow up and not miss a sales opportunity. The same can happen once a quotation has been sent to the client. The sales person can be informed in advance that it should be followed up. In both cases an escalation procedure can also be established so that management can be informed if no action is taken by the sales person.

SymVolli does not only deal with single events but a whole workflow process can be established to deal with such items as lead management. An enquiry that is received either from the web site can be directed to a specific person to follow up. An email will be automatically sent back to the person making the enquiry that their enquiry is being dealt with. Specific literature could be sent with the email. A task will be set up for the sales person to follow up. Lastly an escalation procedure can also be established to make sure that the enquiry is followed up. A more sophisticated workflow process can be set up with regard to proposal generation where input from different personnel is required. Management will be informed when the proposal is ready for checking and if there are any exceptions that need addressing such as minimum margin being exceeded. The system will keep a check as and when the prospect should respond to the proposal and inform the relevant personnel nearer the time that they need to follow up. Once again the system is flexible to fit your working environment.

The toolkit will allow you not only to involve people in a process but also systems. Routines can be written for specific applications so that when an event occurs it will trigger the application to carry out certain tasks. An example of this could be in cash flow management. If a customer has exceeded the number of days to pay, a process can be established whereby the accounting package is instructed to generate a statement that will be sent to the customer and then the issue can be escalated to management.
